Privacy Policy

InkedFlowOS (“InkedFlowOS,” “we,” “us”) provides booking, client management, and payment tools to tattoo studios (“Shops”). This policy explains what information we collect through the InkedFlowOS platform, how it’s used, and who it’s shared with — whether you’re a Shop, an artist, or a client booking a tattoo.

Information we collect

• Account information: name, email, phone number, and role for Shop owners, managers, and artists who sign up.
• Client booking information: name, email, phone number, tattoo request details (style, size, placement, reference images), and appointment scheduling data submitted when booking with a Shop.
• Consent & waiver information: when required by a Shop, health-related disclosures (e.g. allergies, medical conditions relevant to the procedure), an electronic signature image, and the date/time of signing.
• Payment information: deposits and payments are processed by Stripe. InkedFlowOS does not store full card numbers or bank account details — Stripe handles and secures that data directly.
• Communications: messages sent between clients and Shops through the platform, and delivery data for transactional emails and SMS notifications.
• Usage data: basic technical data (IP address, browser type, device information) collected automatically to operate and secure the service.

How we use this information

• To operate the booking, scheduling, messaging, and payment features Shops and clients rely on.
• To send appointment confirmations, reminders, aftercare instructions, and receipts.
• To process deposits, payouts, and refunds through Stripe.
• To detect fraud, secure accounts, and maintain the reliability of the platform.
• To respond to support requests and improve the product.

Who we share it with

We don’t sell personal information. We share it only with the service providers that make InkedFlowOS work, and with the Shop a client books with:

• The Shop you book with — a client’s booking, contact, and waiver information is visible to that Shop’s staff, since they’re the ones providing the tattoo service.
• Stripe — payment processing, deposits, and payouts.
• Twilio — SMS appointment notifications and reminders.
• Resend — transactional email delivery (confirmations, receipts, reminders).
• Google Firebase / Google Cloud — authentication, database, and file storage infrastructure.
• Vercel — application hosting.

Each Shop is independently responsible for how it handles client data once received, and for complying with any local health, privacy, or record-keeping regulations that apply to tattoo studios in its jurisdiction.

Data retention

We retain booking, waiver, and payment records for as long as the associated Shop account is active, and afterward only as needed to meet legal, tax, or dispute-resolution obligations.

Your choices

• Clients can reply STOP to any SMS to opt out of text notifications at any time.
• You can request a copy of, correction to, or deletion of your personal information by contacting us (see below) — Shops handle deletion requests about their own clients directly.

Children

InkedFlowOS is not directed to individuals under 18. Booking a tattoo requires confirming you meet the minimum age set by the Shop and applicable law.

Changes to this policy

We may update this policy as the product evolves. Material changes will be reflected by updating the “Last updated” date above.
